Office staff timekeeping
Office staff clock in from the web app; managers review timesheets, add missed shifts (including overnight ones) and set the clock rules.
Last updated October 21, 2026
Office staff timekeeping lets your dispatchers and other office staff clock in and out from the ZeitRide web app, the same way drivers clock in from the driver app. Each office keeps its own time zone, so a company with offices in different countries sees every shift in that office's local time.
Note: Office staff timekeeping is off until ZeitRide turns it on for your company. Contact ZeitRide support to get started.
Clocking in and out
Staff who are enrolled see a clock in the top bar of the web app. Click it to clock in, start or end a break, or clock out.
- Clock-in is checked against the office. Depending on your office settings, ZeitRide checks that the person is on the office network, inside the office's radius, or both. Breaks and clock-out work from anywhere.
- "Still working?" Five minutes before a scheduled shift ends, ZeitRide asks whether the person is still working. Yes, keep me on extends the shift by an hour.
- Auto clock-out. Someone who is still clocked in after their scheduled end is clocked out automatically once the auto clock-out time has passed (see Clock rules).
- My time (in the top-bar clock and the account menu) shows a person's own week: punches, breaks, scheduled hours, worked hours and overtime. It never shows anyone else's time.
Schedules
Each person's weekly hours are set under Employees → Timesheets → Schedules. Schedules use the office's local time.
A shift can cross midnight. Enter an end time earlier than the start — for example 5:00 PM to 1:00 AM — and ZeitRide treats it as ending the next day, shown as (+1). The whole shift counts on the day it started.
Timesheets for managers
Employees → Timesheets shows the Today board for each office, a week grid with an overtime preview, and Exceptions. You need the Time cards permission to see other people's time (see Roles and permissions).
Fixing a forgotten punch
On the Today board, punch on someone's behalf and choose At another time to enter the real time it happened. A reason is required, and the punch shows "(by a manager)" on the person's My time.
To correct a finished shift, click it in the week grid and edit the times.
Adding a missed shift
When someone worked a whole shift but never clocked in, use Add missed shift on the Today board:
- Pick the date the shift started.
- Enter the clock-in and clock-out times in the office's local time.
- Add a reason and save.
Overnight shifts: if the clock-out time is earlier than the clock-in time — for example clock-in 5:00 PM, clock-out 1:00 AM — ZeitRide treats the clock-out as the next day. The form shows (+1) and "Ends the next day" with the date, and the hours are counted correctly. You no longer need to enter 11:59 PM for a shift that ran past midnight.
Tip: Shifts entered before October 21, 2026 that were saved as ending at 11:59 PM keep that time. Click them in the week grid to set the real clock-out.
Clock rules
Company admins set the clock rules under Settings → Driver app → Office staff timekeeping → Clock rules:
- Auto clock-out after scheduled end (minutes) — someone still clocked in this long after their scheduled end is clocked out at that time. The default is 15 minutes; you can set 0–720.
- Limit early clock-in — turn it on and set Earliest clock-in: minutes before scheduled start. A clock-in earlier than that is refused, and the person is told the earliest time they can clock in, in their office's time. Set 0 to allow clock-in only from the scheduled start.
The early clock-in limit never blocks:
- days with no schedule or days off,
- late or after-hours clock-ins,
- clocking back in after midnight during an overnight shift,
- punches a manager enters and missed shifts.
Click Save clock rules after changing either rule. Drivers have their own clock-in window in the driver app settings — see Driver timekeeping.
Alerts and payroll
Managers get a bell alert when someone clocks in late, leaves early or doesn't show up for a scheduled shift. Office staff hours appear in the Payroll export report with the office, total, regular and overtime minutes — see Payroll and expenses.
