Roles and permissions
Control who sees which modules with system roles, custom roles, and per-module permission toggles.
Last updated July 19, 2026
Settings → Roles & permissions controls what each person can do. A role bundles two things: which apps the person can access (web dashboard, driver mobile app, or both) and which modules they see in the web portal.
System roles
ZeitRide ships with fixed system roles:
- Company Admin — full access to everything, including all settings. This role is fixed — it can't be edited, and admins bypass module permissions entirely.
- Staff — a standard web-office role.
- Driver — the mobile-app driver role.
System roles show a System badge and open read-only ("This is a default system role and can't be edited. To customize access, create a new role.").
Creating a custom role
- Click New role.
- Give it a Name and Description.
- Under App access, check Web dashboard and/or Driver mobile app.
- Set the module permissions (below) and Save.
The roles table shows how many web profiles and mobile drivers use each role. Retire a role with Archive — archived roles can be Restored or Deleted forever once nobody holds them.
Module permissions
The permission editor has two tabs — Operations and Administration — with a toggle per module and Select all in tab / Clear tab shortcuts.
Operations & data toggles include: Dashboard, Live Map, Create Trips (assignments and trip creation), Billing & trips, Expenses, Members, Employees, Vehicles, Compliance, Maintenance, Reports, Payroll, Forms, Inspections, and Map.
Settings & administration toggles: Settings (open the Settings area), Staff (invite and edit web staff), and Roles & permissions itself.
A module that's toggled off disappears from the person's sidebar, and the underlying pages and APIs refuse access — hiding is enforcement, not decoration.
Assigning roles
Roles are assigned on the person's record: Employees → open the employee → the role section on their Access tab (Update role). One role per person; a person needing both office and driving access should hold a role with both app-access boxes checked.
Example role recipes
| Role | App access | Toggles on |
|---|---|---|
| Dispatcher | Web | Dashboard, Live Map, Create Trips, Members, Map |
| Biller | Web | Dashboard, Billing & trips, Reports |
| Fleet manager | Web | Vehicles, Maintenance, Compliance, Inspections, Expenses |
| Driver + office fill-in | Web + Mobile | Dashboard, Live Map, Create Trips |
Note: Some settings pages are admin-only regardless of toggles (integrations, payers, telematics, and other company-level configuration) — those always require the Company Admin role.
