Adding drivers and employees

Add drivers and office staff, issue app logins from the Access tab, and set weekly schedules with vehicles.

The Employees page (sidebar → Admin → Employees → Manage) is the single roster for everyone at your company — drivers and web staff alike. A person's role determines which apps they can use; one person can be both office staff and a driver.

Add an employee

  1. Open Employees and click + Add employee.
  2. Fill in General information: First Name and Last Name (required), Mobile Number, Email address, Date of birth, address, License number and License class (Class A/B CDL, C, or D) for drivers, and Notes.
  3. Pick the Role (required) — the role decides whether they're a driver, staff, or both, and what they can access (see Roles and permissions).
  4. Click save. Other tabs (Access, Files, Compliance, and so on) unlock once the employee exists.

The employees table shows each person's Role, their Week (Mon–Sun) schedule strip, Status (Active/Inactive), and for drivers a Dispatch badge (Available / On Route / Off Duty). Filter with Filters → Type (Drivers only / Staff only), Role, Status, or Facility.

The Access tab: app logins

Open the employee and go to the Access tab.

Driver mobile app

Any employee can be issued a driver app login — you don't have to be "a driver" on paper to drive occasionally:

  1. In the Driver mobile app card, set a Username and Password (min 6 characters), confirm, and click Save mobile access.
  2. The driver signs in to the app with your Company ID (the 6-character code shown in the top bar and on Settings → Company), their username, and password.
  3. To remove app access, clear the username and save.

Web dashboard

If the person's role grants web access, the Web dashboard card lets you create their browser login — Username, Email (optional), Password — with Create web login (or update credentials later with Save web access).

Emailing login instructions

Click the mail icon on either card to send login instructions. Confirming with Generate & send creates a new temporary password (replacing the current one immediately) and emails it along with sign-in steps — including the company code for driver app logins. The employee needs a contact email on file.

Weekly schedule and vehicles

Click the calendar icon on a driver's row (Manage schedule) to open the Driver Schedule slideout:

  • Weekly Schedule tab — toggle each day on or off, set start/end times, optionally Add break, and pick a per-day Vehicle. Set a Default vehicle at the top so most days need nothing extra. Changes save automatically.
  • Calendar & Overrides tab — date-specific overrides: Day off, Custom hours, and a Temporary vehicle for a date range. Marking a day off offers Cover this day's trips so you can reassign that day's trips to a substitute driver in the same flow.

Note: A scheduled day with no vehicle counts as off — ZeitRide won't schedule a driver it can't put in a vehicle. Assign a per-day vehicle or a default vehicle before enabling the day.

The week strip on the Employees page mirrors this: working days show the vehicle's unit number; hover a day to see "off" vs. "no vehicle assigned."

Deactivating someone

Set Status to Inactive on their profile. For drivers, this ends app access on their next request and takes them out of scheduling.
