Driver inspections and expenses
Completing pre/post-shift inspections and submitting expenses with receipt scanning from the driver app.

Two more things drivers handle in the app: vehicle inspection checklists at the start or end of a shift, and expense submissions with a photo of the receipt.
Shift inspections
If your company has inspections turned on (see Shift inspections), the app opens the checklist automatically:
- Pre-Shift Inspection — right after clocking in
- Post-Shift Inspection — right after clocking out
Drivers only see it on the days and shifts their company configured, and only if they're on the inspection's driver list.
Filling it out
- The screen shows each field — Yes/No or Pass/Fail buttons, option lists, numbers, or text — with required fields marked.
- A counter tracks progress ("N of M filled").
- Tap Submit Inspection. Required fields must be answered first.
The vehicle is attached automatically from the driver's schedule for the day — no vehicle picking. Backing out warns "Skip Inspection?" since nothing is saved until submitted. Submitted inspections appear in the office under Inspections → Logs.
Submitting an expense
Fuel, tolls, parking, a part for the van — drivers submit expenses from the app so receipts never ride home in a cup holder.
- Open the expense submission screen and snap a photo of the receipt (or pick one from the library). You can crop it for legibility.
- ZeitRide scans the receipt and pre-fills what it can read — merchant, total, tax, and date, and often suggests a category. Scanning never blocks a submission; anything it misses, the driver types.
- Complete the fields:
- Merchant (pick from the company list, or Other)
- Category — for example Fuel, Tolls, Parking, Meals, Maintenance
- Payment method — Cash, Credit card, Reimbursement, or Other
- Amount and optional tax amount
- Expense date, optional Odometer reading, and Notes
- Submit. The expense lands in the office's Expenses page with status Submitted, the receipt image attached, for review and approval (see Payroll and expenses).
Tip: Admins control the merchant list drivers pick from under Settings → Expense settings — a curated list keeps reporting clean.
Reviewing on the office side
Every driver submission is tagged with its source (Driver app) and submitter, so the office can filter to app-submitted expenses, open each one, view the receipt, and Approve, Reject (with a reason the driver can see), or Mark reimbursed.
